∎ Job Title: Assistant Cash distribution officer
∎ Job summary: The Assistant Cash distribution officer is responsible for ensuring Cash disbursement to training participants, facilitate accounting and financial work, support to procurement and logistic activities following organizational policies and donor compliance, conduct participants survey and attendance tracking as well as liaison with donor finance unit.
∎ Duration: February 2023 to 31 December 2023 (High possibility subject to fund availability
Job Responsibilities:
∎ Cash disbursement and Participants Operation
∎ • Assist to conduct participants selection survey through Kobo/MoDA, survey validation, and participants finalization for skills development training following the program guideline.
∎ • Prepare CBT attendance sheet, distribution master roll, attendance tracking through MODA/Kobo
∎ • Prepare cash disbursement plan and submit cash requisition to HelpAge to organize distribution with maintaining organizational safety and security protocol.
∎ • Prepare cash disbursement report timely and efficiently and share it to HelpAge Finance unit for further processing.
∎ • Liaise with functional units of donor organization (Program Units, Procurement, Finance, Administration, Logistics, and ICT among others).
∎ • Assist to conduct Post distribution monitoring, baseline and endline survey.
∎ • Assist to distribute in assistive products and other in-kind support.
∎ • Provide capacity strengthening support to staffs and volunteers on participants attendance and CBT monitoring.

∎ Finance, administrative and logistics
∎ • Prepare and maintain cash books ensuring completeness and accuracy of data entry.
∎ • Maintain ledger, advance register, leave register, asset register, stock register and other related register following project needs.
∎ • Prepare monthly financial report, submit fund request and correspondence with respective bank.
∎ • Prepare monthly payroll, deduction, and timely deposition of VAT and Tax for accounting.
∎ • Maintain personnel file, office documents safely in an organized manner.
∎ • Ensure inventory of project logistics and equipment and submit reports to donor monthly.
∎ • Organize necessary logistics e.g. stationeries, vehicles, venue and other materials in time as per requirement by the project/ section.
∎ • Review and account for procurement transactions to ensure adequate supporting documentation, accuracy of amounts and control over payments within limits.
∎ • Keeping regular contact with all staff of the project and other stakeholders as and when needed.
∎ • Prepare payment request after receiving of all documentation ensuring, completeness of Procurement and Logistic documents, (purchase requests, work orders, pro forma invoices), proper coding and approval by responsible managers before payments are made.
∎ • Ensure systematically purchase related record keeping and ensure safety of all documents.
∎ • Ensure compliance of Procurement policies and procedures
∎ • Assist PC to achieve budget burn rate ensuring finance, administration, and procurement as per plan within time frame of Project.
∎ • Support for proper movement of assets, recording and safety of assets.
∎ • Any other assigned duties by management.
Additional Requirements:
∎ Proven experience in CBT management.
∎ Essential experience of working with NGOs or multinational business, preferably as Assistant Officer CBT or similar.
∎ Sound analytical and influencing skills.
∎ Able to input financial transaction data through Sun system.
∎ Ability to work independently as well as in a team.
∎ Excellent interpersonal and teamwork skills, working with different groups and nationalities.
∎ Strong initiative and self-motivated, with a strong commitment to humanitarian principles.
∎ Excellent information technology skills.
∎ Ability to multi-task and cope with competing demands under tight deadlines, identify priority activities and assignments, adjust priorities as required.
∎ Advance user on Microsoft Office (MS Word, Excel, Power Point etc.).
∎ Fluent written and spoken English language.
∎ Experience: Minimum 1 year of relevant work experience preferably with NGO in CBT, Finance, and administration position.
Salary: Tk. 35000 - 40000 (Monthly)
