Responsibilities & Context:
∎ Perform general administrative tasks such as answering phones, managing correspondence, scheduling meetings, and maintaining office supplies.
∎ Manage and organize files, records, and databases.
∎ Ensure the office is well-maintained and stocked with necessary supplies.
∎ Arrange and coordinate meetings, appointments, and travel arrangements for staff.
∎ Manage calendars and schedules for executives or team members.
∎ Plan and organize office events, meetings, and conferences.
∎ Act as the point of contact for internal and external communications.
∎ Distribute information and updates to relevant parties.
∎ Draft and edit correspondence, memos, and emails.
∎ Handle basic bookkeeping tasks such as invoicing, expense tracking, and budget management.
∎ Assist with payroll processing and employee reimbursements.
∎ Manage petty cash and ensure proper documentation.
∎ Assist with onboarding new employees and maintaining employee records.
∎ Support recruitment efforts by scheduling interviews and managing applicant communications.
∎ Oversee the maintenance and troubleshooting of office equipment and IT systems.
∎ Coordinate with IT support for technical issues and software updates.
∎ Provide administrative support for various projects and initiatives.
∎ Monitor project timelines and ensure deadlines are met.
∎ Assist with research, data collection, and analysis as needed.
