Responsibilities & Context:
∎ Provide full administrative and personal support to the CEO, ensuring smooth daily operations.
∎ Be fully available and willing to work abroad or travel internationally on short notice as business needs demand.
∎ Maintain 24/7 availability to handle urgent tasks, communications and last-minute schedule changes.
∎ Coordinate and manage a complex calendar, including global time zones, meetings and travel.
∎ Accompany the CEO on international and domestic business trips; handle all travel logistics including visas, flights, accommodations and on-the-ground coordination.
∎ Act as the first point of contact for all professional communications on behalf of the CEO — emails, calls and meeting requests.
∎ Prepare executive briefings, presentations, reports, and confidential documents.
∎ Manage personal tasks and errands as needed to support the CEO’s productivity and efficiency.
∎ Liaise with internal teams, clients and external partners to support CEO-led initiatives and business operations.
∎ Track key deadlines, monitor follow-ups, and support the execution of high-level business priorities.
∎ Uphold the highest level of confidentiality, discretion, and professionalism in all interactions.
∎ Manage schedules, calendars and appointments for senior consultants and executives.
∎ Coordinate meetings with clients, partners, and internal teams, including agenda preparation and follow-ups.
∎ Handle email and phone correspondence on behalf of executives in a professional manner.
∎ Organize and maintain client files, project documents, and confidential information.
∎ Arrange domestic and international travel, including flights, accommodations, and detailed itineraries.
∎ Process travel expenses, reimbursements and assist with basic financial record-keeping.
∎ Assist in the preparation of proposals, presentations, reports and internal documents.
∎ Track project deadlines and assist in task coordination and resource scheduling.
∎ Plan and coordinate company events, team meetings and client workshops.
∎ Maintain office supplies, support onboarding of new team members and assist with general administrative duties as needed.
