Responsibilities & Context:
∎ Manage the chairman’s schedules, including meetings, appointments, and travel arrangements, and prepare & review documents, reports, and presentations.
∎ Manage confidential information with discretion and professionalism & coordinate between the chairman and internal/external stakeholders.
∎ Maintain contact with related government and non-government offices for any official program that the chairman is involved with.
∎ Draft, proofread, and edit emails, letters, and other correspondence; serve as the primary point of contact for the chairman; and facilitate communication and follow-up on requests and tasks.
∎ Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items, and assist in planning and executing company events, conferences, and business trips.
∎ Maintain an organized and efficient office environment and ensure all office supplies and equipment are stocked and functioning, as well as liaise with IT and facilities departments to address any office-related issues.
∎ Assist in the management and execution of special projects as assigned by the chairman, monitor project timelines, and ensure deadlines are met.
∎ Organize and maintain digital and physical files and records, and ensure documents are filed appropriately and are easily accessible.
∎ We are seeking an ambitious and highly self-driven personal secretary to support the secretariat team and AKIJ Resource’s chairman with his/her daily administrative tasks and business activities.The perfect candidate will be incredibly meticulous, possess outstanding communication abilities, and be able to manage multiple tasks with ease.
