Responsibilities & Context:
∎ Understand, implement and/or maintain standard of the Activity related administrative and operation management policies and procedures.
∎ Maintain Activity office and work environment in such a manner that ensures maximum utilization of Activity resources.
∎ Ensure security of Activity offices.
∎ Supervise and control subordinate staff members of the project, like administrative assistants, receptionists, drivers and janitors/cleaners, guards.
∎ Take appropriate measures for procurement of expendable and non-expendable items as per IFDC/donor guidelines.
∎ Supervise tag and record of all the items received in Inventory’s database before issuing them to requesting unit.
∎ Ensure adequate and timely distribution consistent with good inventory control over Activity equipment’s, recording and updating the inventory register.
∎ Coordinating by making sure that all types of equipment and assets including communications, IT, and power and to ensure that equipment is managed diligently and operated in most cost-efficient manner.
∎ Conducting quarterly physical inventory check at the main office locations also getting reports from the field offices.
∎ Periodically assess the disposal of assets that are not used and recorded in the inventory register accurately.
∎ Prepare a monthly report for the expendables store outlining all stock movements and remaining balances.
∎ Maintains accurate inventory records using a computerized inventory system.
∎ Prepare annual inventory of Activity Assets for sending to IFDC HQs and the donor.
∎ Dispose of assets, whenever necessary, as per set guidelines.
∎ Maintain all documents, training materials/literature, and reports published for the activities.
∎ Ensure repair/maintenance and proper working of office utility devices.
∎ Ensure an appropriate service provider for vehicles is identified and monitor movement of vehicles for office purposes.
∎ Provide logistic support and do all protocol duties.
∎ Liaison with appropriate government department/agency related to the Activity.
∎ Maintain office assets and store and keep proper inventory of all assets.
∎ Any other work to be assigned by IFDC Senior Finance and Accounts Officer.

∎ Position Summary
∎ IFDC is currently seeking to recruit a qualified Senior Administrative and Operations Officer who will be responsible for providing day-to-day administrative and related support to the CSA Bangladesh Activity. This role requires multitasking across a range of responsibilities, including operations procurement, storing and asset management, facilities, equipment management and maintenance. They will also be responsible for Activity vehicle management to be procured through service providers. They will make travel arrangements – air ticketing, maintain and track payments, track procurement invoices, and develop reports.

∎ The Senior Administrative and Operation Officer is supervised by and reports to CSA Bangladesh Activity Senior Finance and Accounts Officer.
∎ The Senior Administrative and Operation Officer will supervise the administrative assistants, receptionist, driver, janitors, and guards.
∎ Location
∎ The Senior Administrative and Operation Officer is a national position with a duty in the Activity office in Dhaka, Bangladesh.
∎ The position may require travel to two field offices in Barisal and Jashore as and when needed and some international travel to other IFDC countries.
