Job Responsibilities:
∎ Assists the Secretary General with daily administrative duties and completes a broad variety of administrative tasks that include composing and preparing agendas and compiling documents for meetings.
∎ Communicates with the staff on the Secretary General's behalf and coordinates logistics with high-level meetings both internally and externally.
∎ Coordinates meetings and strategic activities with the Executive Committee (EC) Members, Senior Lion Leaders and BLF staff.
∎ Communicates directly and on behalf of the Secretary General with Board members on matters related to programmatic initiatives as directed.
∎ Assist Secretary General in his external commitments with board members, committees and other groups.
∎ Prepare agendas and papers for board meetings, committees, and annual general meetings (AGMs) & extra ordinary general meetings (EGMs) and follow up on action points.
∎ Convene and service AGMs & EGMs, take minutes, draft resolutions, and lodge required forms and annual returns with appropriate departments.
∎ Ensure policies, regulatory, or statutory changes that might affect the organization are up to date and approved by the committee.
∎ Handle correspondence, collate information, write reports and communicate decisions to relevant stakeholders.
∎ Take an active role and provide valuable input to the management decisions related to foundation activities.
∎ Prepare meeting minutes, agenda, drafting, and management of formal and informal correspondence with relevant bodies.
∎ Disburse meeting minutes, report(s), etc. to the relevant departments as per requirement.
∎ Drafting, distribution of notice agenda for Board of Directors Meeting, AGM, EGM or any other Meeting as per the direction of Chairman & Board of Directors.
∎ Writing and distribution of the minutes of meeting through email or posting.
∎ Maintain all types of membership files, personal files of employees, registers and all other necessary documents. Preparing and issuing of membership certificates.
∎ Making correspondences with related Govt. departments, ministries as well as private organizations.
Additional Requirements:
∎ Age at least 30 years
∎ The incumbent should have fluencies in drafting in English & Bengali in secretarial write-up: Letter and script.
∎ Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
∎ Ability to work independently and with professional discretion.
∎ Excellent writing, editing, grammatical, organizational, and research skills.
∎ Excellent management, time-management, and problem-solving skills.
∎ The candidate must be highly proficient in English.
∎ Good typing speed in Bengal and English.
∎ Basic & wide knowledge of Company Law and Regulation in Bangladesh.
∎ Excellent communication skills, both written and verbal in English.
∎ Strong planning, organizational, critical thinking and negotiation skills.
