Responsibilities & Context:
∎ Vehicle Management: Oversee the organization’s fleet, ensuring all vehicles are well-maintained and in optimal working condition.
∎ Maintenance Scheduling: Develop and implement maintenance schedules to ensure regular servicing and timely repairs of all vehicles.
∎ Regulatory Compliance: Ensure all vehicle-related documents, such as registration, insurance, fitness certificates, and permits, are up to date and renewed as required.
∎ Fuel Management: Monitor fuel consumption for all vehicles, implement cost-effective fuel usage strategies, and maintain accurate fuel records.
∎ Billing and Documentation: Prepare and manage invoices, fuel bills, maintenance expenses, and other transport-related costs.
∎ Employee Scheduling: Plan and coordinate drivers' schedules, shift allocations, and duty rosters to ensure efficient transport operations.
∎ Vendor Coordination: Maintain communication with vendors and suppliers for vehicle parts, accessories, and repairs, ensuring timely procurement and cost-effectiveness.
∎ Safety Compliance: Ensure that all vehicles meet safety standards and that drivers comply with company policies and government regulations.
∎ Incident Management: Respond to vehicle breakdowns, accidents, or any transport-related emergencies, coordinating necessary actions promptly.
∎ Tracking and Reporting: Maintain detailed records of vehicle usage, service history, and overall transport operations, providing reports to management when required.
∎ Fleet Optimization: Evaluate vehicle usage patterns and recommend measures for optimizing transport efficiency and reducing costs.
∎ Communication: Serve as the point of contact for transport-related concerns, coordinating between management, drivers, and external vendors.
∎ Inventory Management: Keep track of spare parts, tools, and accessories, ensuring availability for necessary maintenance and repairs.
∎ Budget Planning: Assist in budgeting and cost analysis for transport operations, identifying areas for cost-saving and efficiency improvement.
