Responsibilities & Context:
∎ Assist in loading and unloading of materials during dispatch and receiving; maintain proper FIFO, LIFO, and FEFO stacking and counting procedures
∎ Collect, verify, and ensure the timely submission of all warehouse-related bills (labor, dumper transport, electricity, and services) with thorough checks and proper approvals
∎ Maintain organized records of all financial and warehouse documents to support finance, audit, and reporting requirements
∎ Update Stack Cards (BIN cards) and Stock Cards daily; prepare manual GRNs and maintain accurate daily work reports
∎ Verify issuing documents such as Store/Warehouse Requisitions, ensuring authorization and correctness before dispatching goods
∎ Check material quality and quantity against requisitions; prepare and approve Delivery Challans/Waybills as required
∎ Regularly inspect and monitor warehouse materials to ensure they are kept in good condition and report any discrepancies
∎ Conduct periodic physical stock counts to ensure alignment between physical stock and book records, documenting findings properly
∎ Manage labor attendance, prepare payment sheets, and ensure efficient labor operations in compliance with warehouse SOPs and Health & Safety regulations
∎ Enforce warehouse security by restricting unauthorized access, promptly reporting any safety or security concerns to the supervisor
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so
∎ The Warehouse Assistant will play an active role in the smooth operation of HCMP’s busy warehouse by supporting material receiving, dispatching, physical counting, and assisting Warehouse Officers in stock management. They will ensure timely documentation, maintain warehouse cleanliness, organize materials systematically, and actively contribute to continuous improvement, key performance targets, and training initiatives.
