∎ Key functional relationships : HFHB-National office: Finance team, HR and Administration team
∎ POSITION SUMMARY
∎ The Admin, Finance & HR Officer will undertake the day-to-day administration of HFHB financial accounting processes and administration of HR functions in Cox`s Bazar. In addition, the selected candidate will provide a professional reception and admin service of the HFHB office in Ukhiya, Cox`s Bazar. Finance & HR and Reception responsibilities will be split approximately 60/40, subject to change depending on business requirements.
∎ WORKING CONDITION:
∎ The position will be based in Ukhiya, Cox`s Bazar with regular field visits in the project locations to supervise & coordinate Admin, Finance & HR tasks with support from the Program Manager.

Job Responsibilities:
∎ The below list of responsibilities is not exhaustive; other tasks may be required to adapt to operational needs. To achieve the overall and specific position's objectives the Admin, Finance & HR Officer will perform the following tasks and undertake the following responsibilities:
∎ A. Administration of Finance and HR functions:
∎ Provide administrative support to the day-to-day management of HFHB Cox's Bazar financial accounting and payroll processes.
∎ Prepare and/or review monthly and quarterly financial reports and statements under the supervision of the Finance team in Dhaka.
∎ Translate all applicable invoices to English and scan all documents as per organization requirements.
∎ Reviewing income Tax and VAT on bills as per Government rules and regulations and ensure deposit to the Government treasury in timely manner.
∎ Review bank reconciliation and project related statements on a monthly basis.
∎ Assist the Program Manager-Cox's Bazar and the National Office Finance department in preparation of project budget & revisions as well as maintaining and monitoring budgetary control.
∎ Administration of all expenditure and payments processes ensuring compliance with HFHB policies and requirement for expenses.
∎ Track and maintain up to date records of all financial transactions of HFHB activities in Cox's Bazar district.
∎ Provide administrative support to the Human Resource management systems of the organization, including maintaining up to date personnel details and records, issuing contracts, annual leave, sick leave and overlooking recruitment processes.
∎ B. Admin and Reception:
∎ Be the first point of contact, meet and greet visitors and guests to the organization in a friendly and courteous manner.
∎ Undertake the administrative duties of the organization, including drafting letters, maintain filing and other day to day resources.
∎ Maintain and overlook guest signing in book to ensure that all guests and visitors are signing in and out of the office as directed.
∎ Support the organization of events, including booking of venue, catering and other equipment.
∎ Compose, check and post information notices and documents in and around the offices as appropriate and provide access to these documents to individual staff.
∎ C. Other General duties:
∎ Coordinate with HFHB Dhaka office to ensure office bills are paid on time, monitor office supplies, manage stocks and supervise cleaner.
∎ Participation in one to one and supervision meetings, and any other meetings that may be deemed necessary as required by the position.
∎ Ensure preparation of all required reports and respect deadline for submission.
∎ Maintain appropriate communication and relationship with different departments in Nation Office.

Additional Requirements:
∎ 2 to 3 years of experience working in a similar position.
∎ Knowledge of NGOAB rules and related legislation of the Bangladesh Government.
∎ Sound knowledge of basic accounting, budgets and income and expenditure process/procedures
∎ Good communication skills - verbal and written - able to operate with diplomacy, tact and empathy.
∎ Adaptability and ability to re-prioritize according to the changing context.
∎ Adaptability and flexibility to be able to respond to changing task requirements in an enthusiastic and positive way.
∎ Proficiency in the use of Microsoft Office software (Word, Excel, PowerPoint).
∎ Ability to manage sensitive and confidential information.
∎ Willingness to travel to project area to ensure the implementation of the accounting practices and policies, purchasing practice, vendors, assets, petty cash spending, waste, possible fraud, and other identified operations.
∎ LANGUAGES:
∎ Good English communication skills
∎ Understanding of Cox's Bazar local language would be an asset.

Salary:
∎ Tk. 55000 - 65000 (Monthly)
∎ (Negotiable based on competency of the selected candidate with all other regular benefits as per organizational policy)
