Responsibilities & Context:
∎ Greeting Visitors: Welcoming guests and visitors to the office with a friendly demeanor.
∎ Answering Calls: Managing incoming calls, directing them to the appropriate person or department, and taking messages when necessary.
∎ Handling Mail and Email: Sorting and distributing mail and emails to the relevant recipients within the organization.
∎ Scheduling Appointments: Coordinating and scheduling appointments, meetings, and conference rooms as needed.
∎ Providing Information: Offering general information to visitors and callers about the company, its services, and procedures.
∎ Maintaining Records: Keeping records of visitors, calls, appointments, and other relevant data.
∎ Assisting with Administrative Tasks: Supporting administrative staff with various tasks such as data entry, filing, and photocopying.
∎ Maintaining Reception Area: Ensuring the reception area is tidy and presentable, including stocking supplies like brochures and refreshments.
