Responsibilities & Context:
∎ Setting and managing the daily schedules and calendars of company executives.
∎ Preparing and/or editing various documents, including expense reports, memos, and invoices, ensures accuracy and adherence to company standards.
∎ Creating spreadsheets, managing databases, and preparing presentations to support executive decision-making processes.
∎ Monitoring office supply inventory and researching advantageous deals or suppliers to maintain cost-effectiveness.
∎ Ordering necessary office supplies promptly to ensure uninterrupted workflow.
∎ Managing corporate stock rooms and office equipment, coordinating repairs or replacements as needed.
∎ Developing and implementing an efficient documentation and filing system to ensure easy access to information.
∎ Making travel arrangements for executives, including booking flights, accommodations, and office transportation.
∎ Negotiate contracts and agreements with vendors to ensure favorable terms and cost efficiency.
∎ Supervise housekeeping staff to maintain cleanliness and orderliness of the office premises.
∎ Organize and manage lunch arrangements for employees
∎ Manage inventory levels and ordering of kitchen supplies and groceries.
