∎ Period of Performance: Initially 1 Year; with the possibility of extension
∎ Base Location: Based in Dhaka, Bangladesh with regular travel to field sites
∎ Expected Starting Date: 01 December 2020
∎ Position Description:
∎ The Office Assistant will support day-to-day support to the Compass program under the direct supervision of Operations, Procurement and Logistics Manager. The Office Assistant responsible to assist respective member to ensure logistics in the meeting or workshop, receive, and dispatch courier, arrange tea and coffee for official program. She/he will manage front office activities. She/he will Monitor and ensure office premises cleanliness especially furniture and equipment. The Office Assistant ability to efficiently perform all assigned duties and receive instructions from the supervisor is essential. The Office Assistant will be based at the Dhaka office. The Office Assistant may also require travelling outside the Dhaka, as required. The ability to maintain a good relationship with the partners and exhibit professional attitude is necessary.
∎ The `Office Assistant will support the program with duties and responsibilities including, but not be limited to, the following:

Job Responsibilities:
∎ Office Management (70%):
∎ Provide support to meet day to day office operational needs as guided by the supervisor.
∎ Maintain the visitor register logbook, ascertain the purpose of visit and inform the respective officer
∎ Collect and deliver bills, and conduct the instant spot purchases as instructed by the supervisor
∎ Assist in organizing all aspects of logistics for the meetings, workshops, training, conferences and other events as needed.
∎ Respond to telephone calls and take dictation.
∎ Assist in repairing and maintenance of office supplies under the guidance of the supervisor
∎ Act as a messenger and provide relevant services, if required
∎ Perform any other official duties as required/assigned by the supervisor or senior management
∎ Assist respective officer in assets' tracking including IT assets.
∎ Coordinate with courier company for dispatch documents.
∎ Receive, sort, and distribute incoming mail (Internal & External).
∎ Support office staff in printing, photocopying, scanning and filing as required.
∎ Update and maintain databases of office support related persons and businesses.
∎ Provide logistic support in arranging training, meeting, and workshop
∎ Ensure office equipment is properly maintained and serviced
∎ Loading/unloading different official materials as and when require
∎ Open the office on time and close it properly.
∎ Visit bank for official purposes as instructed by management.
∎ Assist to purchase petty items like stationery, electric items and other official material as and when require.
∎ Office Cleaning (30%):
∎ Clean office desks and other office equipment's on regular basic.
∎ Assist to keep office area clean and tidy.
∎ Monitor cleanliness of the different corner of the office including washroom.
∎ Regularly check and ensure the availability of toiletries and hygiene kits are available.
∎ Keep the pantry area clean and tidy.
∎ Keep the refrigerator and micro-wave oven neat and clean.
∎ Identify cleaning related problems and raise it to concern authority.
∎ Any other tasks assigned by the supervisor or management.

Additional Requirements:
∎ Minimum 3 Years related working experience. Working experience in donor funded project. Experience to deposit VAT and Tax challan to the respective authorities will be preferred. Working experience on USAID Funded project would be preferred.
∎ Skills/Competencies:
∎ Knowledge and experience of handling office stationeries and using office equipment.
∎ Honesty and hardworking capabilities
∎ Have basic knowledge on accounting and calculation.
∎ Have basic writing skill.
∎ Have ability to visit and stay in the field if require.
∎ Have basic knowledge and understanding on bank operation.
∎ Ability to use computer and knowledge on MS Office Package and internet browsing will be preferred
∎ Language Ability:
∎ The incumbent must be fluent in spoken and written in Bangla and elementary level of spoken and written English. English language skill will be tested.
