Responsibilities & Context:
∎ Lead all protocol-related functions, including coordinating official visits, events, and meetings with external stakeholders.
∎ Serve as the primary liaison with government agencies, embassies, and external partners, ensuring compliance with diplomatic protocols.
∎ Manage travel arrangements and accommodations for VIP guests, delegations, and senior management, ensuring adherence to protocol guidelines.
∎ Obtain necessary clearances, permits, and visas for official visits and events, coordinating with relevant authorities as required.
∎ Develop and enforce protocol guidelines and procedures to ensure consistency and adherence across organizational activities.
∎ Provide protocol briefings and guidance to staff involved in official engagements, ensuring protocol compliance at all times.
∎ Stay updated on international protocols, diplomatic customs, and cultural sensitivities relevant to organizational operations.
∎ Ensure proper handling of protocol-related correspondence, documentation, and records.
∎ Supervise the admin-protocol team, providing training and guidance on protocol matters.
∎ Supervise all general administrative tasks, encompassing office facilities management and inventory control.
∎ Ensure office maintenance and cleanliness standards are upheld to promote a conducive work environment.
∎ Coordinate office space planning, maintenance, and security protocols to uphold a safe and efficient work environment.
∎ Efficiently manage procurement processes for office supplies and equipment, ensuring appropriate stock levels and cost-effective purchasing.
∎ Oversee lunch and snack management to ensure availability and quality, facilitating employee well-being.
∎ Manage vehicle logistics to support seamless operations, including maintenance, scheduling, and transportation needs.
∎ Arrange and coordinate meetings, ensuring all necessary arrangements are made and participants are informed.
∎ Monitor budget allocations for both protocol and administrative activities, optimizing resource utilization and cost-effectiveness.
∎ Execute any additional administrative duties and responsibilities as delegated by senior management.
∎ Protocol:
