Responsibilities & Context:
∎ Greet guests warmly as they enter the establishment, providing them with information about available services and facilities.
∎ Answer phone calls, emails, and in-person inquiries promptly and courteously. Provide accurate information regarding room availability, rates, amenities, and other relevant details.
∎ Assist guests with making reservations, both over the phone and in person. Input reservation details accurately into the system, ensuring all necessary information is captured.
∎ Facilitate the check-in and check-out process for guests efficiently. Verify guest information, process payments, and issue room keys as required.
∎ Address guest complaints or concerns promptly and professionally, striving to resolve issues to their satisfaction. Escalate unresolved matters to the appropriate department or management if necessary.
∎ Maintain accurate records of guest bookings, payments, and other relevant information. Update databases and reservation systems regularly to ensure data integrity.
∎ Provide general administrative support to the management team as needed. This may include managing incoming and outgoing mail, filing paperwork, and assisting with special projects.
∎ Keep the reception area clean, tidy, and well-organized at all times. Ensure that promotional materials, brochures, and other guest resources are readily available.
∎ Familiarize yourself with the establishment's policies, procedures, and safety protocols. Ensure compliance with all relevant regulations and standards.
