Job Responsibilities:
∎ Act as a ‘Point of Contact’ for Admin Department and liaison with internal and external stakeholders for delivering smooth service.
∎ Assist project and maintenance personnel in all aspects of project and maintenance work implementation.
∎ Support security department in their day-to-day activities.
∎ Coordinate all facilities activities, work direction, and support systems.
∎ Supervise and induct support staffs and vendors as needed.
∎ Resolves administrative problems by analyzing information; identifying and communication solutions.
∎ Maintain suggestion system by directing and controlling administrative technical aspects in accordance with management directives.
∎ Address employees’ and clients’ queries (via email, phone or in-person)
∎ Maintain continuity of work operations by documenting and communicating needed actions to management; discovering irregularities; determining continuing needs.
∎ Create, prepare, and deliver reports to line manager
∎ Organize meetings and meeting schedules for department
∎ Ensure conference rooms and other meeting spaces are prepared prior to use
∎ Manage and order office supplies and ensure best hygiene in the premise through continuous monitoring
∎ Assist rental management portfolio by establishing excellent working relation with external stakeholders
∎ Make travel arrangements if needed
∎ Managing equipment and supply needs, including furniture, telecommunications, kitchen appliances, office equipment and supplies
∎ Maintain and manage physical asset and storage site inventory.
∎ Coordinate and monitor vendor’s performance through performing building related services.
∎ Assist management to develop and evaluate plans for facilities executed by vendors.
∎ Inspect entire building to identify general corrective maintenance as necessary for proper maintenance and operation of various equipment, fixtures, etc. and align concern stakeholders accordingly
∎ Report deficiencies and recommend areas for improvement to management.
∎ Direct and manage any facilities emergencies if any.
∎ Support security and safety department for emergencies by helping in creating building evacuation and other action plans.
∎ Liaising with vendors and suppliers on behalf of senior managers.
∎ Respond to any reactive maintenance and repair requirements.
∎ Complete additional responsibilities as assigned.

Additional Requirements:
∎ Proven work experience in a similar role is preferred.
∎ Strong working knowledge of Microsoft suite of products including Excel, Outlook, Word and PowerPoint
∎ Excellent documentation skills
∎ Demonstrates customer service excellence

Salary: Negotiable
