Skills Required
Additional Requirements
- Age At least 21 years
Fluent English with strong written communication skills — you will be writing to clients directly.
Proficiency with computers and administrative tools, including document management, PDF form software, and shared drives.
Responsibilities & Context
We are hiring a Leads/Business Specialist to work directly alongside our Managing Attorney as the first point of contact for prospective clients. You will own the intake pipeline end to end: responding to inquiries, scheduling and supporting consultations, converting qualified leads into retained cases, and handing those cases cleanly to our Case Managers.
This is a high-visibility role. You will be the first voice a prospective client hears, and the quality of your follow-up directly shapes whether they trust us with their immigration matter.
What You'll Do
Manage inbound inquiries across the firm's website, email, WhatsApp, and social media channels, and route prospective clients to consultations promptly and professionally.
Own the Managing Attorney's consultation calendar — scheduling, confirmations, reminders, and rescheduling.
Attend consultations with the Managing Attorney, take detailed and accurate notes, and document client needs and case requirements.
Follow up with prospective and existing clients after consultations to move them toward retention.
Manage referral partner leads (currently in the range of 30–40 per month), ensuring timely follow-up, accurate tracking, and clean documentation.
Open new cases on the firm's client portal, issue invoices, and confirm receipt of initial payments.
Coordinate with Case Managers and outreach staff, conveying initial case notes, client instructions, and strategy directives for a smooth handoff.
Maintain organized records of lead activity, accounts, and initial case fees.
Identify additional matters for existing clients who need further legal assistance.
What Success Looks Like
Performance in this role is measured primarily by leads successfully converted into retained cases, along with responsiveness, accuracy of records, and the quality of the handoff to case management.
What We're Looking For
Excellent written and spoken English; a warm, clear, professional communication style.
Strong organizational skills and genuine attention to detail — you don't let a lead go cold or a note go unwritten.
Comfort with client-facing conversations about sensitive personal circumstances, handled with discretion.
Fluency with digital tools: CRM or case management systems, shared calendars, video conferencing, and messaging platforms.
Ability to work independently across time zones and stay responsive.
Discretion and reliability in handling confidential client information.
