∎ Proven experience as a personal secretary or executive assistant
∎ Strong organizational skills and attention to detail
∎ Excellent verbal and written communication skills in both Bangla & English
∎ Proficiency in Microsoft Office and other relevant software programs
∎ Ability to work independently and manage multiple tasks and priorities
∎ Adhere with discretion and reliability handling sensitive information
∎ Strong interpersonal skills and the ability to work collaboratively with others
∎ Flexibility and adaptability to changing priorities and deadlines
∎ Ability to work with multidisciplinary team

Responsibilities & Context:
∎ We are seeking a skilled and organized Coordination Officer to provide administrative support to the Executive Director and Founder. As a Coordination Officer, you will be responsible for managing and coordinating the day-to-day activities . Your duties will include scheduling appointments, arranging meetings, taking minutes, and performing various administrative tasks to ensure the smooth running of our organization.Perform necessary administrative tasks to support the regular work and activities of the above mentioned office. Preparing various documents, presentations, reports, letters, and other writing correspondence as required. Maintain and organize files and records for the office of the Executive Director. Coordinate official arrangements for booking any flights, hotels, and transportation as required. Take messages, calls, and information for the subjects and respond to them in a timely manner, in consultation with the Executive Director. Schedule regular business appointments, both internal and external, for the Executive Director and Founder. Arrange meetings, prepare agendas, take minutes, and distribute meeting materials as necessary. Coordinate regular documents, cheques (ins-outs) that require approval by the respective supervisor. Handle and manage documents that needs to be transferred internal or external and ensure appropriate dissemination of information/message, as required. Arrange delegation meetings, internal and external, as required by the office above. Keep necessary files and manage important documents, cheques, office orders, and any other official documents that require signatures by the office.
