Responsibilities & Context:
∎ The Senior Manager, Program will oversee project activities, serving as the main point of contact for donors and stakeholders, while coordinating with management for project cycle management and ensuring compliance with organizational and donor guidelines. This position will manage stakeholder coordination, advocate networking, and troubleshoot program issues, implementing innovative solutions to minimize operational expenses. Additionally, he/she will facilitate efficient office operations, provide financial and administrative support, and coordinate personnel management activities such as recruitment, performance appraisal, and staff development. This position will lead capacity-building initiatives, organize training sessions, and ensure alignment of project requirements with program objectives. Also will oversee program monitoring and evaluation processes, assist in determining program needs, and ensure effective communication and collaboration with stakeholders. Moreover, he/she will be responsible for promoting safeguarding policies, ensuring the safety and well-being of team members and participants, and following reporting procedures for incidents. This position may also need to support ongoing USAID Ecosystem/Protibesh Activity in a capacity as determine by the Management.
∎ Coordinate with management as and when needed for the overall project cycle management including contract modification, approval of annual implementation plan and budget, etc.;
∎ Oversee the assigned project activities, serve as the primary point of contact for donors and stakeholders as well, and oversee stakeholder coordination, advocacy, and networking with public authorities, partners, and Donors.
∎ Identify and implement innovative ideas, troubleshoot program issues, and launch initiatives to minimize operational expenses and faults.
∎ Responsible for submitting program activity reports, meeting minutes, and financial reports on a regular basis to the donor and organization.
∎ Implement and make sure that all project activities adhere to the rules and guidelines of organization as well as the schedules and plans of various donors; create solutions for program difficulties; and effectively lead people to finish projects on time and within budget.
∎ Facilitate the efficient operation and delivery of office support-systems and services (e.g., office facilities, IT, transportation, etc.) required to conduct all project activities executed in the locations works with.
∎ Facilitate the financial management team to ensure timely financial and administrative support,
∎ Support compliance with procurement, accounting, documentation and reporting according to policies and procedures as applicable.
∎ Coordinate staff recruitment, performance appraisal and other activities as and when required;
∎ Provide guidance to all staff, and ensure effective coordination and collaboration;
∎ Approve travel and movement of the staff members as and when required;
∎ Advise management on technical and administrative staffing requirements;
∎ Develop and revise designated staff's Job Description and Specification, and their work plan, including Head Office and field.
∎ Ensure yearly performance appraisal of the staff as per organizational guidelines.
∎ Work closely with team members (operations, technical, and capacity development) to provide training on strategic initiatives, project operation, problem-solving, prioritization of work, and improving quality. Also, facilitate project team and others to identify project requirements and ensure they align with program objectives.
∎ Take the lead in capacity-building initiatives and work closely with team members.
∎ Organize training sessions, workshops, and learning sessions for employees, partners, and stakeholders, and lead those as needed.
∎ In collaboration with the MEL team, manage and oversight of programme monitoring and evaluation systems and processes.
∎ Assist the program/project team and others in determining the needs of the program/project
∎ Making sure that all the team members are in line with the goals of the program.
∎ Serve as the primary point of contact for all designated project activities executed from or supported by the Management;
∎ Ensure adherence to Donor mandated visibility and branding;
∎ Support for outreach and development of partnerships with local government, civil society, or other projects working in synergy
∎ Help ensure buy-in and participation of all stakeholders to the project objectives and activities including all government partners.
∎ Ensure safety and well-being of team members and participants.
∎ Promote and endorse safeguarding policy among staff.
∎ Follow reporting procedures for incidents and encourage others to do so
∎ Perform any other related duties or responsibilities when assigned by the Management.
