Job Context:
∎ The Programme Support Officer will perform a range of administrative as well as financial responsibilities related to office operation, logistic assistance, visitor management and financial transactions. S/he will have to maintain professional interaction with internal employees and external stakeholders. The incumbent should have excellent communication skills, both verbal and written, and typing ability both Bangla and English. S/he will have to organize and support meetings, events and marinating proper filing systems for invoice and payment procedures.
∎ The Programme Support Officer will work under the overall direct supervision and guidance of Senior Admin Officer and will collaborate with finance team to perform the following key duties and accountabilities related to administrative, financial management, procurement and disbursement-related services;

Job Responsibilities:
∎ Procurement And Logistic:
∎ Assist in preparing and documenting financial and procurement files.
∎ Coordinate and manage vendor payment as needed;
∎ Petty cash management.
∎ Fixed asset management.
∎ Assist travel, accommodation and other logistics as needed for staff, consultants and visitors to the Programme
∎ Contact service providers and resource persons for logistical arrangements regarding cross-learning events and activities among coalitions, including occasional regional or international visits
∎ Maintain contacts with external suppliers such as newspapers, tickets, stationery, hotels, etc.
∎ Provide comprehensive support for maintaining organizational administration and information systems;
∎ Manage processes related to the commissioning of consultants undertaking specific pieces of work for the team, and act as point of contact for consultants undertaking reviews and evaluations;
∎ Manage and maintain contract agreements, invoices, expenses and other admin and finance activities;
∎ Provide project management administration support including managing sign off and commissioning of work;
∎ Ensure administration and financial support services for effective implementation of operational procedures and compliance, and procurement management;
∎ Assist in preparing documentation of admin and finance tasks related procurement and payment.
∎ Manage supplier payments, invoices and purchase requisitions and keep accurate records of these for monitoring purposes;
∎ Finance and accounts:
∎ Perform all types of monthly transactions- regular monthly bill entry
∎ Preparing VAT/TAX schedule- Staff Tax, Rent Tax, Supplier Tax
∎ Perform Bank Reconciliation
∎ Preparing Salary, cleaner wages and Overtime of Office Assistant, Cleaner & Driver
∎ Preparing accruals & settlement of all accruals
∎ Bill processing of Domestic Air Travel
∎ Cell Phone cost reimbursement
∎ Advance Adjustments
∎ Using Accounting Software-Tally
∎ Vouchers filling and arrangements
∎ General Administration:
∎ Receive and send postal, courier packages addressed to the employees of the organization and sending to the addressed person correctly and maintaining register accordingly.
∎ Ticketing and logistic arrangement.
∎ Coordinate and manage the appointments and meeting time of the visitors/clients with the management and other employees of the organization.
∎ Provide other administrative support as required, including support to team members on more complex administration e.g. recruitment processes, visas, travel etc.
∎ Maintain the visitor register
∎ Perform other related duties as required.
∎ Coordination:
∎ Coordinating events as per management requirement.
∎ Enhance integration with Administration, Procurement and Finance
∎ Proactively maintain communications within internal and external stakeholders;
∎ Support and coordinate programme and programme support staff by providing administrative support and performs frequent tasks, including scheduling meetings, correspondence, and handling visitors;
∎ Drafting letters and other documents, such as PowerPoint presentations, word document or excel worksheet in both Bengali and English;
Additional Requirements:
∎ Minimum 3/5 years' of relevant experience at the national or international organizations; proven experience in the relevant position;
∎ Good written and verbal communication skills in English, including the ability to set out a coherent argument in presentations and stakeholders interactions
∎ Knowledge of office management and basic bookkeeping;
∎ Familiarity with office machines and knowledge to operate office equipment (fax, copier, mail, etc.)
∎ Professional computer skills especially in MS office (especially Excel and Word) and electronic communication;
